Requirements
This position will serve as the records management liaison officer for the agency. They will also be responsible for purchasing goods and services for the legal office utilizing both My Florida Marketplace (MFMP) and state purchasing card (P-Card). This position will prepare travel arrangements, authorizations, and reimbursements for legal office staff. This position will be called upon to perform various administrative tasks and duties, to include answering the phone, distribution of mail, contract logging and routing, and maintaining the law library as well as other administrative assistance to staff attorneys. This position will report to and support the Business and Public Records Administrator in public records and other duties.
Detailed Job Description
- This position will be responsible for purchasing goods and services for the legal office utilizing both My Florida Marketplace (MFMP) and state purchasing card (P-Card). This includes creating requisitions and processing payments. This position will be responsible for coordinating with Budget Officers from other Divisions/Offices to ensure that appropriate funds and coding are used for each purchase.
- This position will be responsible for managing contracts for the legal office and must either be a Florida Certified Contract Manager or obtain a certification within 6 months of hiring.
- This position will prepare travel arrangements, authorizations, and reimbursements for legal office staff.
- This position will be called upon to perform various additional administrative tasks and duties, as needed, including but not limited to answering the phone, distribution of mail, contract logging and routing, assisting in maintaining timelines and submission of documents for the rule making process,
- maintaining law library, maintaining opinion notebooks, maintain p-card for purchasing and payments, assist General Counsel with Commission meeting duties, and aiding attorneys and administrative staff wherever necessary, including backup case management, meeting scheduling, and file/record management.
- The employee will be designated as a Deputy Agency clerk, assisting with certifying agency records and clerking agency orders.
- This position will assist with coordinating the agency’s public records request response program. This position will perform records management related tasks, including but not limited to scanning projects, retention schedule review, and training development and implementation.
- Other duties as assigned by the legal office.
Knowledge, Skills and Abilities
- Knowledge of State purchasing requirements.
- Knowledge of My Florida Market Place.
- Ability to collect, evaluate and analyze data to develop alternative recommendations, solve problems, and document workflow.
- Ability to plan, organize, and coordinate work assignments.
- Ability to assist the RLMO in preparing training material and conducting training events on records management.
- Ability to establish and maintain effective working relationships with others
- Ability to effectively handle multiple priorities and assignments. Ability to communicate effectively and efficiently (oral and written).
- Ability to develop and document, procedures, standards, and guidelines.
- Ability to identify, interact, and provide a high level of service to employees and the public. Ability to work independently.
- Working knowledge of Microsoft Office (Word, Excel, Outlook, etc.)
- Knowledge of Florida’s public records law, Chapter 119. F.S
